Jönköping International Business School (JIBS) is one of four schools within Jönköping University. We offer you a stimulating workplace where you work closely with the leadership team at JIBS. You will be supporting development work such as strategy, action plans and budget. You will also have the opportunity to collaborate with other people within Jönköping University, for example the other Executive Assistants.


We are looking for a structured colleague who enjoys working independently and taking initiative. You have the ability to coordinate multiple activities simultaneously and have a customer-oriented attitude. You have a professional approach, high integrity and good judgement which is combined with your strong interpersonal and communication skills.


  • Keeping the Dean’s calendar, e-mails and travel plans
  • Coordinate and organise meetings for the leadership team incl. retreats
  • Secretary for Leadership Team, JIBS board, Strategy Group, Strategy Board etc
  • General contact person/organiser for projects involving the Dean
  • Organise and plan staff meetings, staff days and similar activities
  • Preparing send-outs, presentation materials etc for the Dean
  • Support internal communication to employees (staff meetings, intranet etc)


You need to have a relevant academic degree or equivalent relevant knowledge as well as a couple of years of experience of administrative work. Good communication skills as well as fluency in written and spoken English and Swedish is a prerequisite. You are proficient in Microsoft Office.

  • Experience from position with individual responsibility, leading or coordinating projects
  • Ability to see different perspectives and see how details are connected to the big picture
  • Comfortable in representing JIBS externally
  • Comfortable in making verbal presentations, for example at staff meetings


This position is a temporary replacement with end date December 31, 2019, with possibility of extension. Starting date is as soon as possible.
